Update / Change QTY and/or Price on a PO

Go to ‘Procurement’ and click ‘Purchase Requisitions.’

 

From Manage Requisitions / Recent Requisitions screen, click on your requisition number or search for your requisition and click on the requisition number in blue.

 

Go to ‘Actions,’ then ‘Edit Order.’

 

You will get a Warning message, click ‘Yes’ to continue.

Notes:

You can make other changes such: Charge Account, Requested Delivery Date, Requester Name, etc.

The pencil icon above or in the line can be used. This will expand the view providing all areas.

PO category can only be changed in the line view.

Make sure to enter the description for the change order as this is a required field.

When a PO is partially received and invoiced, some changes to these fields cannot be processed.

Pencil Icon view:  here you can see all three tabs: line, schedules, and distribution. Here you can add note to supplier and add attachments.

Click on ‘Lines.’ From this screen, depending on the type of PO will be able to change the Price or the QTY per line item.

Select Save and Submit, once submitted the PO change will go thru approval depending on changes.

If you are not ready to submit for approval, select the arrow next to Save to Save and Close.

The PO will show a blue dot next to it. You will have to remember to go back into it to finish the change and submit. NOTE: this an incomplete change order. Incomplete change orders will be removed after 3 days.

The only way to see the draft status is from Manage Order view as the change occurs on the PO.

You will get a confirmation stating the change order was summitted for approval. Click ‘OK’

Click on Done to return to the Manage Requisitions view.

 

Additional details:

When in the edit mode you realize, you do not need to make the change, go to Actions, select Delete this will remove the change you started.

A warning will pop up, showing you are about to permanently delete the change order, do you want to continue, select YES.

This only remove the change order you started.
