Pending PO Change Order, view approvals and editing

PO Change requests not fully approved will leave the PO in a state where it cannot be fully processed and/or closed.

Select Manage Requisitions search for your requisitions, select the PO number denoted with the blue dot. The blue dot right next to the PO number indicates there is a pending change request.

**Note: the blue dot will disappear after several days, you should keep a record of changes you have requested. **

**The Buying Center review pending change orders and if the change exceeds 30 days you will be alerted**

Click on the ‘PO number’ in blue to view the PO with the pending changes.

 

This view will show Change Order number, Status of the Change Order, Initiator of the Change Order plus all PO details.

To view the approval workflow, select status ‘Pending Approval’

 

ONLY requisition created/entered by person can Edit, Delete or Cancel Change Order as needed. Use the reassign process to update the requisition entered by name.

Below summarizes each type of change:

Edit a Change Order

Go to Actions and click ‘Withdraw’ to update the change order, Add a reason, select OK at confirmation of withdraw and click on Done to return to Manage requisition view.

            

 

Select the Order number, select Actions, Edit

Make the necessary corrections

Once you are done editing the details as needed, click ‘Save,’ Actions: Validate (check for errors) and ‘Submit.’

A confirmation saying it was submitted for approval. Click ‘OK’ and ‘Done.’

Cancel Change Order

 

To Cancel your change order, remember you can only cancel change orders in ‘Pending Approval’ status.

 

Do not select Delete Change Order as it will not cancel it.

 

From Managed Requisitions, select the PO number not the REQ number, once the PO is showing, Click on ‘Action’ then, ‘Cancel Change Order.’

Enter the reason for the cancelation, then click ‘OK.’

 

You will get a confirmation. Click ‘OK,’ then ‘Done.’

 

Delete Change Order

You cannot Delete a change order, in pending status, you can only delete an incomplete change order.

Select the Order number with the blue dot.

From Actions, select Delete.

A warning message will pop-up saying the change order will be permanently deleted, click ‘Yes’ and ‘Done.’
